Staff Registration and Hotel Accommodations

Hotel rooms must be booked with the conference organizers directly. Please contact Marin Silvers at [email protected] to book your team. The following information is due by June 26th to book rooms for your team:

  • Executive Name
  • Title
  • Dates of stay
  • Email address

Please note: Quartz Events covers the night of August 3rd for your staff. We will automatically book that night and any additional nights requested. The cost for the additional night is $169 plus tax. All changes must be made through Marin as well, the hotel will not accept your changes directly. This information must be provided by June 26th or we risk not being able to guarantee rooms.

ALSO! Only Quartz will be contacting you to book rooms. There is a company called Exhibitor Housing Services who likes to sometimes call our exhibitors and pretend they are booking rooms for us. They are not – do NOT book with them!

Exhibit Booth Information

Booth Inclusions:

  • Pipe & Drape
  • Tables
  • Chairs
  • Electricity (one power strip)
  • Wi-Fi
  • Trash Can
  • Name Plate (just with company name and booth # – no logo)
  • Ballroom is carpeted

Booth Size:

20 meeting packages receive 2 tables and 6 chairs in a 10 x 15 booth
30 meeting packages receive 3 tables and 9 chairs in a 10 x 20 booth
40 meetings packages receive 4 tables and 12 chairs in a 10 x 30 booth

Branding:
We suggest all exhibitors to ship something to dress their booth such as a 10 x 10 booth or pop-up banners, see examples below. You are also welcome to send collateral and giveaways.

Shipping:
All shipping should be done through the advance warehousing. The information for the advance warehouse can be found in the service manual. If you do ship to the hotel please note that you will still be charged handling fees for your shipment. You will also have to ship to the attention of someone from your team staying at the hotel, you cannot ship attention to the event.

Booth numbers will be sent out May 20. If you’re setting up shipping through the advanced warehousing before this date, you can reference Company Name/Event Name and they will be able to place based on that

July 20: Ranking Tool access opens

July 27: Email sent to exhibitors with appointment schedule and a contact database for the attendees they will be meeting with

Best Practices

  • You will receive the contact information for the people you are meeting 7/27 as referenced above. In the week running up to the event we recommend reaching out attendees you are meeting with and introducing yourselves along with some information about what your company. This will give the attendee information on your company and solutions to enter the meeting with.
  • DO YOUR HOMEWORK! When you receive the contact information you will also get the profile information for each attendee. The team attending will also receive the profiles printed out in a bound book when they check in at the welcome reception. Your team should definitely make sure they read this information so they enter the meeting with all the information we have collected from the attendees.
